Planning a useful WhatsApp chatbot for your business

Start with a small set of customer questions and a clear handover to your team.

Choose a focused task

Before building a chatbot, review the questions your team answers repeatedly. A business might need help collecting service enquiries, explaining opening hours or directing customers to the right department. Begin with one useful conversation rather than asking a bot to handle every possible request.

Collect the details needed for a reply

For a quotation enquiry, the conversation could ask which service is required, what the customer wants to achieve and how they prefer to be contacted. Keep the questions short and explain when a person will take over. Do not ask for passwords or unrelated personal information. The goal is a useful enquiry, not a long automated interview.

Make the limits clear

Customers may send incomplete messages, spelling mistakes or questions outside the prepared material. Plan a fallback response and a human handover. If prices depend on scope, the bot should gather requirements instead of inventing a quote. If an integration is unavailable, it should explain the next step rather than implying the request has been completed.

Test with real business scenarios

Try ordinary enquiries, unclear messages, repeated submissions and requests for a person. Check that the team receives enough context to continue the conversation. Agree who maintains the answers and reviews failures after launch. AirVote’s messaging workflow is a related example of incoming messages connected to a business process, with uncertain song matches left for human review. A customer-service chatbot needs its own scope and tests.
